Before you begin
- Access to the Google Calendar, Microsoft Outlook, or Apple Calendar account you want to read.
- For Apple Calendar, sign in to ScheduleBuilder and have your Apple Account email and an app-specific password ready.
- In the Android app, sign in to ScheduleBuilder before connecting an online calendar provider.
- Import once is unavailable while a calendar connection exists, even when sync is inactive. Disconnect and wait for the schedule to reload, or use an unconnected schedule.
Connect the calendar
In your own schedule, choose Calendar. On mobile, use Schedule tools → Calendar import & sync. On Android, choose Calendar import & sync → Connect a calendar. If desktop tools are under More, choose Calendar there (on Android, Connect a calendar). Calendar is not available on an invited shared schedule.
No provider is preselected for fresh setup. Choose one to reveal the modes, with Import once selected by default on an unconnected schedule. Resumed authorized imports retain their provider. Switching modes keeps your provider choice.
Choose your provider and Import once for an editable copy of one week. Continue opens authorization; selecting the mode alone does not import anything. Choose Continue and authorize read-only access with Google or Microsoft. For Apple, enter your Apple Account email and an App-specific password from Apple Account security settings before continuing—never your regular Apple Account password.
For ongoing updates, Keep in sync is available to schedule owners with Pro, an eligible active trial, or administrator access. Choosing that mode does not start sync; you must enable it explicitly. Manage existing connections through … → Sync settings on the schedule entry (schedule-title dropdown on Android).
Set up ongoing calendar updates instead (Pro)
Stop public access by unpublishing a schedule
On Android, select Calendar → Google Calendar on this device to open device-calendar selection directly for Google calendars already synced to the device. It reads a local snapshot instead of using the temporary online connection described below.
Choose a calendar and preview one week
Choose Calendar to import and Week to import. Each import reads one calendar and one selected week.
Select Preview calendar. In Review import, check dates, event times, all-day events, and visible days before deciding whether to import.
What the snapshot includes and its limits
Later changes in either the source calendar or ScheduleBuilder do not update the other. Repeating events become occurrences in the selected week, not a connection to future weeks. Calendar task lists and reminder setup are not imported.
The limit is 250 resulting schedule events. Events spanning midnight are split into daily parts and may count more than once. A large week or lengthy descriptions can also exceed the schedule’s size limit; choose a smaller week or calendar.
Descriptions are limited to 4,000 characters per event. Outlook supplies a description preview, not the full text. Timed events use this device’s local time zone; check the preview carefully if it differs from the calendar’s zone.
Confirm the selected week
Choose Add to account, Replace in account, or Replace on this device, as shown in Review import, and wait for the import to finish.
After it succeeds, select the imported schedule in your collection. You can edit its events independently; the source calendar remains unchanged.
Cancel the preview
Choose Cancel in provider setup, calendar selection, or Review import to close without adding or replacing a schedule. Your source calendar is unchanged. Reopen Calendar to choose another calendar. After a populated online preview, reconnect to request another week.
The calendar or week will not load
No readable calendars: check that you authorized the account containing the calendar. Choose Change to connect another account, then select a readable calendar.
Empty week: choose another week or calendar and preview again while the temporary connection is valid. A populated preview opens Review import.
Expired connection or failed read: connect the provider again, then choose the calendar and week. Retrying an expired connection cannot load a new preview.
Too many events: choose a smaller calendar or week. More than 250 resulting schedule events cannot be imported.
Provider unavailable: export an iCalendar file from the calendar service and choose Import, then From a file if options appear, for a one-time snapshot instead.
