Push notifications and reminders

Enable event and task notifications, choose their timing, and troubleshoot missing reminders. Browser Push and native Android reminders have different limits.

Before you begin

  • Sign in. Reminders on your own schedules require Pro. Accepted shared schedules use the owner’s Pro access, so collaborators do not need their own Pro plan.
  • Use a browser with Notifications and Web Push support, or the native Android app for schedules you own.

Set up reminders on this browser or device

  1. Open the schedule in the Builder and choose Settings > Reminders. On mobile, find Settings in Schedule tools. For a shared schedule, you can use the header’s Reminders shortcut, including with view-only access.

  2. In a browser, choose Enable on this device and allow notifications when prompted. In the native Android app, choose Enable Android reminders and allow Android notifications. Complete setup and wait for the enabled confirmation; browser permission alone is not enough.

    Enable the current browser here, then choose separate defaults for event and task reminders.
  3. Under Default reminders, choose an Events default and, for schedules you own, a separate Tasks default. Events use their start time; tasks use their deadline time. Off disables reminders that use that default, but does not turn off individual reminder choices.

  4. Enable each additional browser profile or Android device separately. Signing in on another device does not enable its notifications, even when reminder preferences are already saved.

Customize an event reminder

If you own the schedule or have shared-schedule editor access, open a timed event and select the bell beside its time fields. Choose a reminder, then save the event.

  • Use schedule default follows the Events default. On a shared schedule, it follows your personal event default, not the owner’s.
  • No reminder for this event opts that event out.
  • At start time or 5, 10, 15, 30, or 60 minutes before sets an explicit reminder for the event.
  • At a specific time lets you enter a Notification time from 60 minutes before the event starts through 60 minutes after it starts, including across midnight.

An explicit choice stays in place when the default changes. Choose Use schedule default to follow the default again. All-day events are skipped regardless of the default.

Customize a task reminder

On a schedule you own, open a task, set Deadline time, and select the bell beside it. Task reminders require your own Pro access and completed device setup; a deadline alone does not enable one.

  • Use schedule default follows the Tasks default, not Events. The default’s zero-minute option is At due time.
  • For an individual task, choose Off, At deadline, or 5, 10, 15, 30, or 60 minutes before, then choose Save task. Tasks do not have the event-only At a specific time option.

Archived tasks, completed one-off tasks, and tasks without a deadline or enabled reminder are skipped. Weekly tasks skip reminders for dates marked completed; uncompleted weeks can still receive them.

Choose the week and reminder time zone

In Settings > Dates, turn on Show dates to see Displayed week. For browser reminders, Active week repeats on the chosen weekdays; Choose a week restricts reminders to the selected week. Hiding date headers does not clear a selected-week restriction.

In Settings > Reminders, Reminder time zone defaults to Each device’s local time. Choose a named zone to use the same schedule clock on every receiving device. Events and tasks share this setting; tasks have no separate time-zone control.

Shared-schedule reminders use your personal choices, not the owner’s. Viewers can set defaults and time zones; event-specific choices require editor access. Use Turn off reminders for me to stop your reminders for that shared schedule.

For Android task reminders, open each schedule you own whose tasks need reminders and let them load. Reopen or resume the Builder to update reminders after changes on another device. Native reminders expire after 35 days without an update.

Setup is blocked, unsupported, or cancelled

  • Browser permission blocked: allow notifications for ScheduleBuilder in the browser’s site settings and check operating-system notification permissions, then retry setup.
  • Android permission blocked: use Open Android settings or Manage Android notifications, allow notifications for ScheduleBuilder, then return to the app.
  • Notifications unsupported: use a browser with Web Push support. Shared-schedule reminders require a supported browser, not the native Android app.
  • Setup cancelled: no reminder settings changed. Retry when you are ready to approve the permission request.

The browser reports a Push service error

  • Check the browser’s privacy, Push or cloud-messaging, background-app, and notification settings.
  • Check your connection and operating-system notification settings, then retry Enable on this device. For a previously enabled browser, choose Refresh connection.
  • If you need notifications after all browser windows close, allow background apps where the browser offers that option. Delivery still depends on browser and operating-system support.

This error means the browser could not finish Push setup; allowing website notifications alone may not resolve it.

Notifications are enabled, but no reminder arrives

  • Check the item’s reminder choice. An item using the schedule default needs that category’s default to be set to something other than Off. Tasks also need a Deadline time. All-day events, archived tasks, completed one-off tasks, and completed weekly occurrence dates are skipped.
  • For browser Push, reconnect and let schedule and task changes sync; unsynced local edits do not update reminders. If a previously enabled browser stops receiving notifications, use Refresh connection.
  • For Android task reminders, open the schedule you own and let its tasks load. Reopen or resume the Builder after changes on another device.
  • Check notification permissions, focus or do-not-disturb modes, and battery restrictions. Confirm your Pro access, or that your shared membership and the owner’s Pro access are still active.

A reminder arrives at an unexpected time or repeats

  • Check Reminder time zone and, for browser Push, Displayed week. Without a selected-week restriction, reminders follow weekday occurrences rather than a separate calendar due date.
  • Inspect the item’s explicit lead time or notification time. Changing a default does not replace an item override; choose Use schedule default if you want the item to follow it.
  • After moving to another time zone, use Refresh connection in the browser or reopen the Android Builder to refresh the device zone. A named reminder time zone stays fixed.
  • Each enabled browser profile or device can receive its own notification. To silence only one, change its notification permission or settings instead of the schedule default.
